How to build a WhatsApp order form for a food business

Make it easy to decide on a phone

Most food orders begin when someone sees a menu, a post, or an advert and wants a fast answer. A long form with a dozen fields turns a ready buyer into someone who says ‘I’ll come back later.’

Start with the decision they need to make: which meal, how many, when they need it, and how to contact them. The objective is not to collect every possible detail. It is to start an accurate order conversation.

Use visual product choices

Photos, a short name, and a clear price help a buyer select without typing a vague request. For example: ‘Jollof rice + chicken — ₦5,000’, ‘Party tray — ₦25,000’, or ‘Fresh juice — ₦2,000.’

Use recent images of the actual item where possible. Do not make delivery or availability promises in the form if they depend on location, time, or stock.

Collect only the information that changes the next step

A sensible order form normally asks for a name, WhatsApp number, chosen item, quantity or serving size, delivery area, and preferred fulfilment time. Address details can wait until the business confirms coverage and price.

Make the hand-off immediate

Once the form is submitted, the lead should land in the sales workspace and receive a relevant WhatsApp acknowledgement. The business can then confirm availability, delivery cost, and the final total before sending a payment link.
